Getting Started

This section provides an overview of configuring 32-bit Synergy applications. There are also notes relating to specific Synergy applications, such as Profile.

You need to have installed the application before you can carry out the operations described in this section.

Users upgrading from our earlier DOS or 16-bit Windows applications may find it helpful to read the separate page that gives notes for users upgrading from earlier Synergy products before starting to use the new application.

Overview

When the application is run for the first time on an individual computer you will be asked to specify the location of Skyewright Synergy data. For a standalone system, just use the top option. On a network use the top option on the main computer in the system (the one where the data will be held), for workstations use the second option which leads to a window where you need to provide the "path" to the data on the main computer.

The first normal window in the application is the Log On. The initial default Synergy user is MANAGER, with a blank password. this is regardless of what users you might have set within Sage. The first time the application accesses Sage data it will ask for your Sage user name and password. If you make use of the Sage password facilities to restrict access, you should edit the default user settings as appropriate before others use the system. When you have Logged On for the first time the application will request a licence - this can't be issued in advance because the licence is keyed to the system the application is installed on. A request form is provided that can be filled in with the relevant details. If you have a MAPI enabled e-mail program the details are then e-mailed to Skyewright, otherwise the details can be sent by e-mail, fax or post via a browser. If you are using Sage Line 50 v7 or above you will also need a Sage add-on activation key. This is part of Sage's own licensing system and can be obtained directly from Sage, free of charge, via the usual phone numbers - 0845 1116666 (Great Britain), 0845 2450280 (Northern Ireland), 01 6420863 (Republic of Ireland.

Once the licence key is installed you can start to use the system. The first task is set up a Dataset, that is to tell the system where to find the Sage data and where to store the Synergy data. On first use, you might like to link to the DEMODATA that Sage provide before linking to real data. To set up a Dataset, use the "Browse..." button on the Select Dataset window and work through the Wizard that is provided. For more about Datasets see the Datasets Pages.

Once a dataset has been set up you may select it and start uping the application with your data.

Application Notes

Profile Notes

When you first open a Dataset with Profile, your first job will be to Synchronise to Sage. This is the equivalent of Updating the Archive in earlier versions of Profile. Be sure to synchronise all of Tax Rates, Categories, Departments, Couriers, Currencies, Invoices and optionally Purchase Orders on the first occasion. Subsequently Invoices and Purchase Orders (if applicable) should be synchronised on a regular basis. Tax Rates, Categories, Departments, Couriers and Currencies just need synchronising if changes have been made within Sage.

If you need to upgrade data from an older version of Profile you will also need to install the appropriate plug-in (downloaded separately). To perform the upgrade, choose Import from the File menu in Profile and follow the instructions.

N.B. Before importing data from an earlier version of Profile, you should verify the earlier data. You should also have run the Compress option of the earlier version since you last used any Delete options on the old database.

N.B. When synchronising Invoices for the first time you may wish just to specify a small range on which to test the application - since synchronising all your invoices could take a long time.

N.B.The new version of Profile extracts more data than previous versions, for example Profile DOS did not record document address details, just delivery addresses. If you want to maximise the amount of data in your new database, use Synchronise before Import - that way any suitable invoices still available direct from Sage Line 50 will be imported in full. The subsequent Import will then skip the equivalent Profile DOS records to avoid duplication. If you do Import before Synchronise the reverse will apply, i.e. when you do Synchronise any invoices that have already been imported from an earlier version of Profile will be skipped.

Tip: If you want to run reports based on address data and covering records imported from Profile DOS you can get around the absence of the document address in imported data by using SALES_LEDGER based criteria for address line selection rather than CustomerDocument based criteria.

N.B. If you have upgraded from the 16-bit version of Profile from Windows, the Profile icon on your Sage toolbar does not link to the new version of Profile until AFTER the first time the new Profile has been run.
